AccountManager Import Profiles

Import Profiles allow you to map information to spreadsheet data allowing for importing contacts into AccountManager.  You can create an import profile for different formats of Microsoft Excel spreadsheets that you intend to import.

Creating Import Profiles

1. Open the database and go to the “Maintenance\Imports\Import Profiles” view.

2. Click the “New Import Profile” button on the action bar.  A blank Import Profile document will display.

3. Enter the row number for the first row of data in the “Start at Row” field.  (This should be the first row of data on your spreadsheet not including any column header or label rows).

4. Enter the Microsoft Excel column letters for as many of various fields as you can.  Some Columns are required but you do not necessarily have to account for every column of data, simply do not map columns you do not have.  There is no need to delete unnecessary columns from your spreadsheet).  See helpful information at the bottom of the import profile for guidance on which columns are required.

5. Save the import profile when finished.

Close

Closes the Import Profile form.

Edit / Save

(toggles between) 

Edit – Enables the ability to edit the Import Profile.  No changes can be made until the Edit button is clicked.

Save –  Saves the Import Profile.

Field Names:

Field Name

Description

Start at Row

Microsoft Excel row number on the spreadsheet that contains the first bit of sales/commission information.  Do not count any header or label rows.

First Name

Contact’s first name.

Middle Name

Contact’s middle name.

Last Name

Contact’s last name.

Title

Contact’s formal job title.

Company

Contact’s company name. The Company, Division and Location make the Company name unique.

Division

Contact’s division name. The Company, Division and Location make the Company name unique.

Location

Contact’s location name. The Company, Division and Location make the Company name unique.

Website

Contact’s website. This may be overwritten if linked to an account.

Address 1

Contact’s address 1.  If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

Address 2

Contact’s address 2.  If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

City

Contact’s city.  If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

State/Province

Contact’s state/province. If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

Zip/Postal Code

Contact’s zip code or postal code. If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

Country

Contact’s country.  If the address1, address2, city, state, zip and country matches the account it will get updated when the account address changes.

Email

Contact’s main email address. Will be used when creating an email to this contact.

Comments

Contact’s comments. An open text area for additional information.

Phone

Contact’s phone.  If the phone and fax match the account it will get updated when the account phone or fax changes. Used for autodialer.

Fax

Contact’s fax.  If the phone and fax match the account it will get updated when the account phone or fax changes.

Mobile

Contact’s mobile phone number.

Phone2

Contact’s additional phone number.

Fax 2

Contact’s additional fax number.

Home Phone

Contact’s home phone number.

Pager

Contact’s pager number.

Notes

Free form text area for notes about this import profile.
