AccountManager Import Profiles

Import Profiles allow you to map information from spreadsheets into your business documents so they can be importing into AccountManager.  To be imported into AccountManager the files must be in Microsoft Excel format, see note below if you have another file type to import. If at some point the format of the data source changes you may edit the import profile to accommodate the changes.

Note: If you receive a file in a format other than Microsoft Excel, see if you can open it using Excel and save it in Excel format. Microsoft Excel can open many data formats.

If you are using single principal/representative style imports you must create an import profile for each principal or representative.

If you are using multiple principal/representative style imports you must specify a principal or representative as a column to import.

Creating Import Profiles

1. Open the AccountManager database and go to the “Imports/Import Profiles” view.

2. Click the “New ‘Bizdoc’ Import Profile” based on the type of import you want to do.  A blank Import Profile document will display.

3. Click the “Principal/Representative” hyperlink to select the principal / representative.

4. Enter the row number for the first row of data in the “Start at Row” field.  (This should be the first row of actual data in your spreadsheet not including any column header or label rows).

5. Enter the Microsoft Excel spreadsheet column letters for as the fields you want to import.  (You do not need to fill every field, nor do you necessarily have to account for every column of the data in your spreadsheet.  There is no need to delete unnecessary columns from your spreadsheet.  See helpful information at the bottom of the import profile for guidance on which columns are required.

6. Save the import profile when finished.

Closes the Import Profile form.

Edit / Save

(toggles between) 

Edit – Enables the ability to edit the Import Profile.  No changes can be made until the Edit button is clicked.

Save –  Saves the Import Profile.

 

Field Names (Example)

Field Name

Description

Principal / Representative

The Principal or Representative this import profile is for(Click the hyperlink to select.  Choices are a list of your principal/representative account profiles).

Import Type (dropdown)

Choose Direct or Distribution depending on the kind of import this will be.

Start at Row

Microsoft Excel row number on the spreadsheet that contains the first bit of sales/commission information.  Do not count any header or label rows.

Description

Brief description of the use for this import profile (optional).  This displays in the import profiles view.

End Customer Name

Microsoft Excel column letter containing the customer’s company name.

End Customer City

Microsoft Excel column letter containing the customer’s city.

End Customer State

Microsoft Excel column letter containing the customer’s state.

End Customer ZIP

Microsoft Excel column letter containing the customer’s ZIP code.

<Additional Accounts>

Your configuration may have additional accounts such as distributor and others.

 

Approximate Value

Microsoft Excel column letter containing the value of the opportunity.

   

Line Item Fields

 

Mfr Part Number

Microsoft Excel column letter containing the manufacturer’s part number.

Description

Microsoft Excel column letter containing the description.

 

Split Rate

Microsoft Excel column letter containing the external split rate.

Convert to Percent (%)

(checkbox)

Check this box only if the information in the “Split Rate” column is not designated as a decimal or with a percent sign. (i.e. If Split Rate contains .80 or 80%, do not check the box.  If Split Rate contains 80, then do check the box, to convert that 80 into a percentage).

Customer Part Number

Microsoft Excel column letter containing the customer’s part number.

Qty

Microsoft Excel column letter containing the quantity.

Convert to Percent (%)

(checkbox)

Check this box only if the information in the “Comm Rate” column is not designated as a decimal or with a percent sign. (i.e. If Comm Rate contains .05 or 5%, do not check the box.  If Comm Rate contains 5, then do check the box, to convert that 5 into a percentage).
